[DQXX-110] Duplicate Clients

Report Purpose and Summary

This report is designed to identify clients who potentially have duplicate profiles in Clarity Human Services. The report produces a list of clients served by your agency that may have multiple profiles. Anyone can run the report to find duplicate client matches created within an agency or across agencies to which the user has access. To identify matches across the entire Clarity instance, the Administrator version should be run by a System Administrator and those with necessary access roles. The list is updated overnight for fresh data every 24 hours. The report can be used for data clean-up by identifying duplicate client profiles that may need to be merged by your System Administrator. 

Instructions

Make sure you are operating in Clarity under the agency you are running the report for. You can check and change this under your name in the top right corner. 

Step 1: Click on the Launchpad, then click on the Reports icon.

Step 2: In the Report Library, click the down arrow next to the “Data Quality Reports” folder to expand the section.

Step 3: Click the Run button to the right of[DQXX-110] Duplicate Clients

Step 4: Enter the following parameters

Report Output Format The User can choose to format the report output as a Web Page, PDF, or Excel

Step 5: Click  Submit 

The file will be sent to the Report Queue. Once the report is processed, you will receive a notification that the report is ready.

To open the report, either select Open on the popup or click the Queue icon and then click Open.

Reporting Details

The data used to identify duplicate profiles are name, social security number, and date of birth. It provides the following information, as shown below:

  • The Unique IDs for each duplicate profile
  • Client name
  • Social security number
  • Date of birth
  • Date their profile was added to Clarity
  • Staff member who created each profile
  • Staff member's agency
