Shelter Count PIT Report

Report Purpose and Summary

This report is run for Emergency Shelter, Transitional Housing, and Safe Haven programs to create an unduplicated count of persons experiencing homelessness in these programs for one night.

PLEASE NOTE:  There are two Point in Time reports available.  These instructions refer to the CANNED version of this report and DOES NOT require a special license.

Canned version versus Looker version 

Looker version:

  • Requires a Looker license
  • Allows access to errors in the report needing to be addressed
  • Includes various demographic data groupings

Canned version: 

  • Does not require an additional license
  • Does not show potential errors needing to be addressed

Instructions

Make sure you are operating in Clarity under the agency you are running the report for. You can check and change this under your name in the top right corner. 

Step 1: Click on the Launchpad, then click on the Reports icon.

Step 2: In the Report Library, click the down arrow next to the Administrator Reports folder to expand the section.

Step 3: Click the Run button next to[HUDX-230-AD] Shelter Count PIT.

Reporting Parameters

Step 4: Enter the following parameters.

CoC Choose the HUD recognized CoC for your program
Agency Filter Category Choose ‘Agency CoC’
Agency Status Choose ‘Active Agencies’
Agency(-ies) Choose ONLY your agency
Program Type(s) Choose the Program Types for the programs you wish to include in the report (hold either control/command /shift button to select multiple types)
Program Status Choose ‘Active Programs’
Program(s) Choose the programs you wish to include in the report (hold either control/command/shift button to select multiple types)
Apply Client Location Filter Choose ‘Yes’
PIT Date Choose the Point in Time Date for which you wish to view data (typically fourth Wednesday of the designated month)
Report Output Format Select *Web Page, PDF or Excel

*Drilldown Functionality is available when run in Web Page Format

Step 5: Click submit

The file will be sent to the Report Queue. Once the report is processed, you will receive a notification that the report is ready.

To open the report, either select Open on the popup or click the Queue icon and then click Open.

Reporting Details

Report Format

The PIT is broken down by populations:

  • All Households
    • Households with at Least One Adult and One Child
    • Households without Children
    • Household with Only Children
  • Veteran Households
    • Households with at Least One Adult and One Child
    • Households without Children
  • Youth Households
    • Unaccompanied Youth
    • Parenting Youth

There is an additional section for homeless subpopulations as well as a table breaking down counts of sheltered persons by program and project type by age, gender, and household type (unaccompanied minors, single adults, and families). 

Drilldown Functionality:

The web page version of the report provides a drill down functionality to identify the clients.
