12. HMIS ROI Privacy Settings
All materials developed by ICA are based on the Bitfocus Clarity HMIS platform and reflect the most current information available to us. Materials are updated as new information, guidance, and functionality are released by the vendor. Because the system continues to evolve, there may be updates or changes to the interface or functionality that are not yet reflected in these materials. ICA will continue to review and update these resources as additional information becomes available from Bitfocus.
A Release of Information (ROI) is a signed consent form that authorizes the sharing of a client's information in HMIS with participating agencies. The ROI helps coordinate services, reduce duplicate data collection, and improve continuity of care while protecting client privacy. Before sharing information, staff must ensure the client understands the purpose of the ROI, what information may be shared, who may access it, and that consent is voluntary and may be revoked at any time.
HMIS Workflow
- Navigate to the Privacy tab in the clients profile and then click the Plus Sign (+)

- Complete the required information.

- If the client has agreed to share data, choose 'yes' under Permission. If the client has not agreed to share data, chose 'no.'
- Documentation is where you will upload the physical copy of the ROI or choose Verbal Consent

*Note: If you choose Verbal consent, a signed copy of the ROI must be obtained as soon as possible.
- Click 'Choose a File' and upload the file from your documents
